How to give access to a request to colleagues

User roles within a request

In general we differentiate between giving access on request level or company level. Both are explained as follows:

Request Level:
For any request and at any moment you can share access. Click ‘edit’ icon near ‘Contact person/Grand Access’ part. It opens modal with list of your registered colleagues on the platform. You can use search bar for finding needed person.

Near each user’s name there is dropdown with such types of access on request level:

  • No Access - the request won’t be displayed in list of requests for the user;

  • Owner - the user is the owner of request and fully controls the request;

  • Full Access - the user has full access to the request, can make any changes there and review all information;

  • Visitor - the user can only review the request, but can’t make any actions there (changes/awarding/etc.);

  • Evaluator - works for the requests, where you switch on ‘Scoring’ setting. The user can just view ‘RFQ Scoring’ tab and can enter scores. All other actions with the request are not available for the user;

  • Stakeholder - works for the requests, where you switch on ‘Scoring’ setting. The user can view and use Q&A section on ‘Products’ page and has access to review and enter scores.

 

You may also set it up any time after publishing the request on "General" tab clicking edit icon near "Contact Person/Grand Access:"


Company Level:

Additionally, you have ability to invite your colleague, if this person is not registered on the platform yet. Click the button ‘Invite a new user’, it directs you to ‘Company Profile’ page where you may use ‘Invite New User’ button. It opens a modal box for entering all information.

 

Pay attention for types of roles on Company Level you have to select for this user:

  • Admin - has full control on the platform and can manage users

  • User - can create requests and has access only to his requests (and those, where is set up access for him)

  • Visitor - can review requests for which he has access and this user has access only for ‘My Requests’ and ‘My Messages’ pages. The requests where this user was granted access for will than appear below "My Requests". This feature is often used to grant access to external companies.
