How to Create RFI Questions?

The creation of RFI/ Questionnaire consists of four steps:

  1. General Info Step
  2. Add Questions Step
  3. Preview Step
  4. Tab RFI (when RFQ was already published)

 

General Info Step

Here you can add RFI / Questionnaire in the request, you need to switch on a checkbox on “Advanced settings” during creation of request on “General” tab.

When you select this functionality, you have ability to switch on such additional settings:

  • Purchaser Gatekeeping before RFP. If this is activated the supplier will only be able to quote if buyer approves him after supplier participated in rfi these can be granted access within tab RFI.

 

  • Give ability for supplier to edit RFI answers

  • Set up the final date. The supplier will be able to answer the questions until the enddate. If the supplier tries to participate later the access will be denied.

 

Click on “Save and Next Step” and you will be moved to next step of creation RFI/Questionnaire.


 

Add Questions Step

Here on ‘RFI / Questionnaire’ page you can add qustions and answers using excel file. You have ability to use default excel draft or create your own draft prototype, where you may add columns and groups you want and specify the fields settings for saving this selection in future.

Add a new column. For adding one more column click ‘plus’ icon near the column, where you want to insert new one and add the same required information.

 

“Select field type” and enter “Field name”

 

Private field (hide from supplier) and Public field (show to supplier) choose format “Text (letters and digits)” and fill the field “Field name”

Field type “Answer” has a few formats to choose, select which you need and fill the “field name”. Here you have an opportunity to mark this question column as “Required” for answering.

 

The format “Dropdown” has the following types for selecting:

  • Yes / No

  • Checkbox (add options)

  • Radio buttons (add options)

 

These created columns you can edit or delete. When editing the field type or format of the column you can also mark this field as “Required”

Change format for this cell. Mark as “required” if needed, click “Save”

 

Checkbox

Change format for this cell. Add text for your options, mark as “required” if needed, click “Save”

 

Radio button

Change format for this cell. Add text for your options, mark as “required” if needed, click “Save”

 

Fill the name of the question and click “Save”

 

Also, you can edit question, remove question, attach file and move the question up / down whith the help of these buttons:

 

Clicking on the button “+New Question” you will be able to add as many quastions as you need.

 

Add group

Click on button “Add group”, fill the name of the group and click “Create Group”

 

After creating a group or a few groups there is an opportunity to change the order of the groupd (hold the group with the left mouse button and move it up/down), delete group, edit group and add new question to the group.

 

Click ‘Add to Draft’ button. It opens the form for putting name of this draft:

 

After clicking on “Save as draft” you can Choose a draft from previously created drafts (when you select or create a draft, you specify the field settings for the Excel draft and the “Add new question” form). You can choose any from your list or delete draft.

 

After adding all the question and groups to the RFI click ‘Save and Next step’.

After adding items to the RFQ click ‘Save and Next step’.

After adding suppliers to the RFQ click ‘Save and Next step’.


 

Preview Step

On a Preview Step you can edit questions, remove questions, attach files and

 

Click on “Save as draft” or “Publish request”

 


 

Tab RFI (when RFQ was already published)

After publishing your request you can find the tab “RFI / Questions”

  • Purchaser Gatekeeping before RFP. If this is activated the supplier will only be able to quote if buyer approves him after supplier participated in rfi these can be granted access within tab RFI.

Supplier’s view. Supplier can download RFI file, give answers and upload this file, or give answers online. Then click on “send answers” button

 

Buyer needs to “Approve” the answers

 

After buyer approves the answers, the status will be changed to “Approved”, and supplier will have the possibility to give quotes

 
  • Give ability for supplier to edit RFI answers

 
  • Final date

Set up the final date. The supplier will be able to answer the questions until the enddate. If the supplier tries to participate later the access will be denied.
