How to Give Quotes on PINPOOLS

This article provides clear step-by-step guidance on how suppliers can participate in RFQ events and give their quotes effortlessly.

Once a supplier is logged into PINPOOLS, they should go to the left-side menu and click on My Requests tab. All RFQ events and E-Auctions, which Supplier has access to, can be found on this tab.

The list of available events will appear with the following information per each event: 

  • ID 
  • Event Name 
  • Company who published the event 
  • Status (Participated, Not Yet Participated, Awarded, Pending/Ended) 
  • Start Date with filterScreenshot 2025-10-13 at 14.49.51 to sort the events from the most/least recent 
  • End Date with filterScreenshot 2025-10-13 at 14.49.51 to sort the events from the most/least recent 
  • My Offers/Feedback 


There are two buttons per each event:

Screenshot 2025-10-13 at 14.50.27 to hide an event, so it will not be displayed in the list. 

 

Events can be sorted according to enabled filters on the top of the page. If the system says `No matches found`, users should Reset filters to see all the available events.

In order to enter an event, users should click event name or  Screenshot 2025-10-13 at 14.50.05  icon. After entering the event, users will be directed to General tab.


 

General Tab 

  • Message from Buyer: View any message left by the buyer.

  • Company Name: Click to view the company profile.

  • Blacklist Me: Opt out of future requests from this company.

  • Contact Person Name: Click Message to send a personal note to the buyer. Clicking it opens modal box where you can enter your message, attach file and submit.

  • Request Status: Current status of the request: Running, Ended/Pending, Awarded

  • Start/End Date: Duration of the request.

  • Currency List: Only listed currencies can be used for quoting. The anchor currency will be the main currency and all quotes given in other currencies will be calculated into the main one.

  • Giving offer with upload of specifications. If there is such setting switched on, then you won't be able to save any offer without attaching specifications

 

Please notice, that you can also share access to this request with your colleagues. Use "Share access" button at the end of 'General' tab of the request:


 

Items tab

Users will find a list of products for which they can enter their offers and all information for these products. There are two ways of giving offers:

  1. Online, clicking ‘Submit offer’ button per each product one by one;

  2. Via Excel file, which is more comfortable to use if there are many items in the request.


1. Giving Offers Online

If you prefer to quote online for individual items, follow these steps:

  1. Locate the Item: Find the item you want to quote for

  2. Submit Your Offer: Click the "Submit Offer" button. This action will direct you to a page where you need to enter all required information.

  3. Enter Required Information: Fill in all mandatory fields marked with a red asterisk (*). These fields will be displayed at the top of the page.

  4. Optional Fields: Additional optional fields might be displayed at the end of the page. You can choose to fill these as needed.

  5. Save Your Offer: Click the "Save offer" button after completing all required information. Note that if the request owner asks for an SDS or Specifications, you must attach these before saving.

    Additionally, suppliers can attach SDS. specifications or any other documents to their quote with the help of button Attach file in the bottom left corner. 



Best Practice: Use online quoting for a few products to save time and ensure accuracy.

 

2. Uploading Offers via Excel File

For large requests with numerous items, the Excel upload method is more efficient:

  1. Download Item List: Click the ‘Download Item List’ button located near the search bar.

  2. Fill in the Excel Draft: Open the downloaded Excel file and fill in the obligatory information in the blue-colored columns. Leave lines empty for products you do not want to quote. 

  3. Upload Your Offers: Save the filled Excel file and upload it using the ‘Upload offers’ button.

  4. Error Handling: If there are format errors (e.g., text instead of numbers), an error message will guide you to the specific column and line needing correction.

  5. Review Your Offers: Submitted offers will appear in the ‘Price per Unit’ column after a few seconds.

Note. Suppliers can`t add new columns while giving quotes via Excel, only fill in the existing ones. If some additional information should be shared with request owner, suppliers should contact them via messaging.

 

Managing already given offers

In order to edit already given offers, suppliers should click `pencil icon` on the left from item name, then change all needed information and save the changes by clicking Submit offer button. 
To delete offer, users should click `bin` icon on the left from item name.

Suppliers can also do the following actions within their bids:

  • Send a personal message to the request owner - `chat icon` 

  • Attach a file - `clip icon`

  • Add notes/questions/answers visible to all participants - `Q&A icon` (if allowed)

Please be informed that all information and history of questions/answers which is added in Q&As is visible for all participants of this request: to the buyer and to all listed suppliers as well. For any private questions please use ‘Message’ button on ‘General’ tab.


As well,  users may monitor the status of their offers (awarded, rejected or pending) by filtering the options as needed. By default, there are selected all offers, users may filter them clicking the one they want to check.


Messages tab

All messages sent from the ‘General’ subpage or via the chat icon on the ‘Items’ page are displayed here. Users can:

  • View message history.

  • See if and when a message was reviewed by the buyer.

  • Send additional messages and attach files if needed.
