Analysis of RFX: Working with Published Requests. Pivot table

This tab allows you to efficiently evaluate and compare offers, ensuring smoother decision-making process and guaranteeing that the best value is selected from multiple suppliers.

Key Features of the Pivot table tab

    1. View All Supplier Offers

In the Pivot table tab you can review all offers received from suppliers. Once suppliers submit their quotes for specific items, these are displayed in the pivot grid for easy comparison. This overview lets you quickly assess various offers side by side, facilitating a clearer understanding of the pricing, terms, and conditions from each supplier.

    2. Download All Offers via Excel File

In the Pivot table tab you have the ability to download all incoming supplier offers and all documents into an Excel file to make amendments all together with your colleagues if needed.

    3. Variety of actions per each item.

Click the “arrow” icon to explore the different options to perform per each product.

  • Hide/Show product: Click the “eye” icon to manage item visibility.
  • Split awarding: Click the “cake” icon to set up splitting between suppliers. Choose the splitting method (unit of measure or percentage), enter quantities for each supplier, and confirm the action.
  • View or add notes: Click the “chat” icon to see existing notes or enter new ones.
  • Freeze item: Click the “snowflake” icon to mark the product as frozen for filtering.
  • Select for the 2nd round: Click the “flag” icon to arrange the second round.
  • Park item: Click the “P” icon to mark the product as parked for filtering.
  • View invited companies: Check the list of companies invited for this product by clicking the “building” icon.
  • Attach files: Click the “pin” icon to attach files.
  • Reject items: Click the “R” icon to proceed with the rejection.
  • Edit, delete and hide offers: You can modify, remove, or hide offers as needed. To contact the offer owner, click the “Message” . Your message history is available on the “Messages” subpage.

    4. Filtering function

Filters are accessed via the “Add filter” button. It provides options for customising data display. Overall, the filtering function enables you to adjust the Pivot table view by showing, hiding, or filtering specific data points based on various criteria.

    5. “Actions” functionality

The “Actions” button enables the ability to select or unselect items for the 2nd round in case you need all of them to be added just in one click as well as start the 2nd round itself.

Moreover, you can easily save your selections in case you are not the only one who is working with the current RFQ. All you need to do is to click the “Create new selection record” and put the name.

All created selections can be found within the “Selection records” option as shown below:

The selection can be easily deleted if required.

    6. Awarding process

Once you have selected the offer to award and marked the appropriate checkboxes, the “Go to awarding step” button will become active, allowing you to proceed with awarding the suppliers.

You can also view the list of awarded suppliers and products, download the Excel file containing the upsell results, resend confirmation mails, and send rejections to suppliers by clicking the “See awarded offers” button.

If your tender includes multiple products and you want to split the awarding among several suppliers, you can easily do so by downloading the corresponding Excel file. Make the necessary changes in the file and upload it back to the platform. Your changes will be reflected within few moments, and the items will be automatically preselected for awarding.

    7. Flexibility in Structuring the Pivot table

The Pivot Table tab offers complete flexibility in how you structure and view the data. You are not locked into a predefined grid layout; instead, you can fully customize the table to suit your specific needs and preferences.

  • Move columns: If you want to focus on specific pieces of information, you can rearrange the columns by simply dragging them to a new position. This allows you to organize the data in a way that makes the most sense for your analysis.

  • Hide and unhide columns: If there is unnecessary information, you can hide specific columns with just a few clicks by marking/unmarking the checkboxes. You can always unhide them later if needed. This feature makes it easier to focus on the most relevant data without being distracted by additional details.

  • Change the number of offers per page: You have full control over how the Pivot table is displayed. Simply choose the preferred number of offers to be shown in one page.

This functionality ensures that the Pivot table adapts to your needs. It is an great tool that provides you with the ability to compare offers, download data, and perform awarding in a highly efficient and flexible manner. By offering customizable views, the ability to split awards, and the option to run multiple bidding rounds, this feature makes your decision making process smooth and easy to perform.
